ppSD2 has a number of emailing features to make contacting your users and leads easier.
Templates
The program has a number of preset e-mail templates that can be altered freely from "Settings > E-Mail Templates".
This screen allows you to edit whether the template should be sent ("Status" = On or Off), the format of the template (HTML or Plain Text), the "From" line, an options "BCC" line, the subject and of course the content.
The program will always add the appropriate "Universal E-Mail Header" before the e-mail's body and the "Universal E-Mail Footer" after the e-mail's body.[help]The appropriate header/footer template depends on whether the email is in HTML format or Plain text format. In some cases you can choose to not to add the standard header/footer to the email. Look for this option when composing an e-mail.[/help].
Caller Tags
In almost all cases, e-mail templates can use caller tags. This allows you to display user/lead account information directly on an e-mail. You can use caller tags as follows:
%field_name_here%
Examples:
- First Name: %first_name%
- Username: Guest
- City: %city%
You can get the exact field names from "Settings > List Fields".
E-Mail Archives
You can see a list of all sent e-mails from "E-Mailing > View dispatch logs".
You can view a list of e-mails sent to a specific user by clicking on "E-Mail Archives" within the User Management Screen.
Trackback Notices
If added to an outgoing e-mail, Trackback will inform you when the user has read the email.
Trackback is only available on HTML emails. A user must display an e-mail images for the trackback notice to work.
Link Click Tracking
You can turn on link tracking from "Settings" > E-Mail Related Options > "Track Outgoing Link Clicks?" = "Yes".
If turned on, ppSD2 will track when a user clicks a link on an email. All clicked links are displayed at "E-Mailing > Clicked E-Mail Links".
Opting Out
In the event that a user no longer wishes to receive any e-mails from the system, you can click on the "E-Mail Opt-Out" link from within the User Management Screen.
This is often useful if a lead replies to scheduled email and you want to stop the lead from receiving additional scheduled e-mails.
Users can manually opt-out if you place the following caller tag on outgoing e-mails:
%optout_link%
Note that this is different from the newsletter "Unsubscribe" link which will only stop a user from receiving a newsletter, not all e-mails from the program, including newsletters.
Custom Actions
You can set up your own custom emails using custom actions.
