Scheduled e-mails, often referred to as "Autoresponders", are automated e-mails which allow you to contact users a specific amount of time after they join, before they expire, or after they expire. You can also send emails on specific dates.
Creating Scheduled E-Mails
- "E-Mailing > Add a scheduled e-mail"
Input the basic information you want for your email, such as the generic reference name, the from line, a BCC, subject, and content. The program will place the appropriate header around your email unless you specifically tell it not to using the ("Don't use the standard header" and "Don't use the standard footer" checkboxes).
E-Mail Timeframe Criteria
Select when the e-mail should be sent and what the program should base the sending on (expiration date, join date, or an exact date).
Criteria
The criteria system will allow you to specify exactly who should receive this email.
You can choose to only send this email to users joining after it was added by selecting the "Exclude current users/leads from this scheduled e-mail (only users/leads joining after today will receive this e-mail)" option. This is highly recommended if you are basing the email on a join date, otherwise all of your users will receive it.
If you choose to specify criteria, a long list of options will appear to you. Select your desired criteria as well as the matching type (does a user/lead have to match everything or select as criteria or just one thing?) and save the changes.
Dispatch Logs
You can view dispatch logs for any scheduled e-mail from "E-Mailing > List scheduled e-mails". Click on the 1st icon next to the email you wish to see.
Common Uses
Automated Followup E-Mails
Recommended Method: After Join Date
Example: This method is especially useful when following up with leads and is perfect for sending out sales materials to potential customers.
Renewal Notices
Recommended Method: After expiration date or before expiration date.
Example: Send users an e-mail with a payment link that they can use to renew their accounts before they expire.
Surveys & Requests
Recommended Method: After Join Date
Examples: Send your users questionnaires, request testimonials, or request information on the quality of your services, etc.
Holiday Notices
Recommended Method: On Exact Date
Send out notices on specific holidays to make your business more personable and user-friendly.
Common Problems
Scheduled E-Mails Aren't Sending
Please ensure that the cron job is working properly and that the criteria on the e-mail matches at least 1 user/lead's account settings. Click here for more information.
